Description
CEDEC is expanding its team and wishes to hire a full-time Assistant Coordinator for its Employment Assistance Services Capacity Development Initiative (EASCDI). We are seeking a detail-oriented and collaborative Assistant Coordinator to support the Project Coordinator in delivering high-quality project operations, stakeholder engagement, and labour market information activities that advance this important initiative.
Position summary
The Assistant Coordinator will be responsible for administrative and logistic support to the Project Coordinator. This role helps ensure that members of the Talent Supply Chain sub-network, Labour Force Development agents and CEDEC staff have accurate, timely information to enhance service delivery and career development initiatives. The Assistant Coordinator also supports project operations by maintaining documentation, coordinating meetings, updating project tracking tools, and assisting with stakeholder communication to ensure smooth project workflow.
Responsibilities
- Maintain organized databases, tracking systems, and documentation to ensure data accuracy and accessibility.
- Support the preparation of presentations, reports, and workforce development resources.
- Provide administrative and logistical support for stakeholder engagement activities, including meetings with industry associations, employers, and educational institutions.
- Schedule meetings, coordinate logistics, prepare agendas, and record meeting minutes for the Project Coordinator.
- Assist in preparing and updating project directories, contact lists, and internal tracking systems.
- Support the Project Coordinator with regular follow-ups to labour-force development agents, industry partners, and internal teams to collect required updates or documentation.
- Help update project management tools, dashboards, spreadsheets, and status trackers to support monitoring of deliverables and deadlines.
- Support onboarding and coordination of new labour-force development agents or partner organizations by preparing materials and maintaining required documentation.
- Help compile weekly, monthly, or quarterly updates, summaries, and communication materials for the Project Manager.
- Support the distribution of reports, updates, presentations, and other project materials.

Other Skills And/Or Abilities
Qualifications:
- Diploma or degree in social sciences, labour studies, business, economics, public policy, or a related field, or a combination of education and equivalent professional experience
- Experience in data collection, research, or workforce development is considered an asset
- Strong organizational and data-management skills
- Proficiency with Microsoft Office Suite
- Comfort using project tracking tools, shared documentation systems, and CRM-style platforms
- Strong written and verbal communication skills
- Detail-oriented, proactive, and able to work collaboratively in a team environment
- Ability to manage multiple administrative tasks, prioritize competing deadlines, and support coordination activities in a fast-paced project environment
